Definition

Actual cost (AC) represents the total expenses incurred to complete a specific portion of project work up to a given point in time. It is a fundamental metric in project management that quantifies the real money spent on labor, materials, equipment, and other resources. In practice, AC is tracked and compared against planned costs to monitor budget performance and identify variances. Understanding actual cost is crucial for making informed decisions about project scope, schedule, and resource allocation, helping to prevent cost overruns. For instance, if a project planned to spend $5,000 on software licenses but has already spent $6,000, the actual cost is $6,000. This differs from planned value (PV), which is the budgeted cost for the work scheduled, not the actual expenditure. Actual cost is a key concept assessed on the PMP, CAPM, and PMI-ACP examinations.
